Suggested Fall 1 Planning Tasks
- Attend Fall 1 2024 CDE Roadshow Trainings *
- Review Fall 1 2025 Roadshow Slide Deck
- Read the CALPADS FALL1 Roadmap *
- Download the Fall 1 Preparation Checklist from CDE
- Meet and get consensus on deadlines for tasks. See suggested.
- Plan to have all IVR errors in SIRAS cleared in SIRAS by Nov. 4th
- Plan to have all Fall 1 events (<10/3/2024) reported to CALPADS by Nov. 4th
- Pick a goal date to LEA approve by, SIRAS suggests Nov. 22nd.
- Each LEA confirm Fall 1 plan overall including goal LEA Approve deadline
- Each LEA confirm SPED Fall 1 tasks who they are assigned to.
- Each LEA confirm local SPED Fall 1 deadlines with other LEA staff and SELPA.
- Each LEA calendaring a meeting date/time with SELPA.
- Make sure the CALPADS SIS Coordinator knows when SEDS coordinator is done sending data from SIRAS.
- Make sure each LEA is planning on doing the Census day reports (In SIRAS or your SEDS) on or as close to the literal census date this year of 10/2/2024
- Review CALPADS Statewide Leadership Training Presentation for Fall 2024 (good 'Preparing for Fall 1' model information.)
BEFORE Fall 1 Local SEDS Audit Checklist
- Compare data between SIS and SEDS to ensure consistent data entry for name, birthdate, race/ethnicity. Use SIS Schedule Import Task Log if SIS is integrated with SIRAS.
- Plan to have all IVR errors cleared in SIRAS by Nov. 4th
- Once all IVR errors are cleared and no more data needs to be sent, resolve any final SPED related CDDs in CALPADS
- Once all CDDs are resolved in CALPADS, we can look for a snapshot to certify and LEA Approve.
- CALPADS enrollment, SIRAS SEDS coordinator sending data, key IEP Team contacts like program specialists who generate that can help explain context of what happened in the field.
- Plan to get all meetings either finalized, independently reported, or a pending as of record sent by an agreed upon date.
- CALPADS SIS coordinator keeps in contact with SEDS coordinator to know when all data needing to be sent to CALPADS for Fall 1 has been sent. This is all events with report event date 10/2/2024 or earlier.
- Make sure all WBLR work based learning results tracked in SIRAS are entered into your SIS! (Your SIS reports WBLR.)
- Make sure all discipline incidents for SWDS, are reported. Reach out to NPS to verify your district gets their information.
- Use the Program Setting predefined queries to fix outdated program settings (PLAN0619F1)
- Use the Cleaning up Program Data list to look for other anomalies (PLAN0619F1, PLAN0389F1)
- Meetings that happened on or before 10/2/2024 that can't be finalized before LEA approve need to have MEET record archived to report the meeting.
- Clear all Imported Errors in SIRAS (These are temporary DNRs preventing data from going to CALPADS)
- Reach out to IEP Teams to see if we have new notice of students who exited SPED prior to 10/3/2024 (SWDS0621F1)
- Review DSEA Extract Reports (padlet link)
- HS district use your Tran Reg predefined queries to find out of compliance or missing Tran Reg data (PLAN0390F1 - PLAN0397F1)
- Run Currently Overdue DINC 1 and update As Of date to be: 10/2/2024 or 6/30/2025 This is a query for projections of meetings to account for. Either they are done on time, or done late, so we document meeting delay reason, or if they can't be done prior to census, we report pending as of (the meeting creation date).
- Run Previously overdue annual/triennial DINC 1 lists and verify meeting delay reasons in CALPADS
- Run DINC 2 Initial Eval > 60 days, verify meeting delay reasons or if original meeting date was replaced by a continuation date and needs to be put back.
- Run DINC 3 Init Eval after 3rd Birthday if IFSP district, verify meeting delay reasons or if original meeting date was replaced by a continuation date and needs to be put back.
- Run DINC 4 Transition Reg Indicators to identify records that need attention.
- Run Indicator 5/6/8 reports in /reporting/statistical reports/predefined reports
- Leading up to doing the Census Extract on 10/2/24 All students enrolled and participating as of or before10/2 should be Active.
- Leading up to doing the Census Extract on 10/2/24 All students enrolled and participating after 10/2 should be Pending. (keep them out of your Active set 'as of' Census day)
- Leading up to doing the Census Extract on 10/2/24 All students that stopped being enrolled and/or participating after 10/2 should be Inactive in SIRAS 'as of' census day.
- Important: Monitor students needing updated program setting
- Important: Look for program setting and % in gen. ed. anomalies
- Important: Look for HS students turning 16 prior to Fall 1 to ensure the 8 transition reg. questions have set of Y/N answers in a plan effective prior or to 10/2/2024,
- Important: Run 16.21 to monitor for missing plan adoptions and compare to meetings held late in SIRAS
- Important: Review DSEA Information
ON Fall 1 10/2/2024 Census Day Tasks (to be run on Census day or as close to it as possible)
- Do the: Census Day Data Pull Report Tasks
- Print and save 16.12 statistical report from SIRAS.
- Print and save 16.13 statistical report from SIRAS.
- Print and save 16.15 statistical report from SIRAS.
- Print the Age by Disability matrix report from SIRAS.
- Run FTE reports in SIRAS (to compare to FTE from 16.14 from Fall 1 2024)
- Run Out of Home Care Search (Padlet Link)
- Run Credentialing Audit Search (Padlet Link)
- Run Low Incidence Search (Padlet Link)
- Run any other known reports your district requires.
- Options for reporting: grouped lists, matrix or table reports and securely store the .xlsx and .pdf files together in a Fall 1 2024 secured folder.
AFTER Fall 1 10/2/2024
- Harder to fix problems as any archives made have dates after Fall 1.
- Use reporting period block to filter only sending event dates directly related to completing Fall 1.
- Don't Disable reporting period block until after Fall 1 amendment window ends.
- Meetings done on or prior to 10/2/2024 that can't be finalized need to have their meetings sent so these records don't look overdue.
- Records that are already overdue as of 10/2/2024 minimally need a 'pending' record record sent designating when the meeting event was created in SIRAS. This tells your FMTA your district is aware of the record being overdue. Include meeting delay reason if at all possible.
