CALPADS Account/Credential Migration Temporary / Resolved

April–May 2026: SEDS Coordinators were instructed to continue using their original CALPADS credentials until the new @calpads.org access became available for data submission. This entry is retained as migration history and is not current login guidance.

SWDS0749E1 Temporarily Disabled Historical Reference

April 2026: CDE temporarily disabled SWDS0749E1 while revising its trigger logic for EOY completer/dropout reporting. The notice focused on students age 14 and older whose SWDS effective end date matched the enrollment exit date and whose completion/exit codes were included in the new EOY certification reports.

Verify the current validation status in CALPADS rather than relying on this historical notice.

Timeline Noncompliance Correction Deadline Historical Reference

April 2026: CDE notified SELPAs and LEAs of the final Prong II correction pull for remaining timeline-noncompliant SSIDs. This deadline has passed; the entry is retained to document the correction cycle.

studentData.csv – Medi-Cal Billing Fields Added Current

February 2, 2026: Two columns were appended to studentData.csv: Medi-Cal Billing Permission and Medi-Cal Billing Permission Date.

SIRAS Notification Email Domain Change Current unless replaced

October–November 2025: SIRAS notification mail began using @notify.sirassystems.com. District IT staff may need to allow that domain when messages are filtered.

2025–26 CALPADS Rollover & Fall 1 Preparation Historical Reporting Period

2024–25 Curated Update History

During 2024–25, SIRAS clarified parent-response terminology, including changing Awaiting Consent to Awaiting Response and expanding the non-acceptance option so teams could close documentation events where no plan would be implemented.

TOMS API Availability Changes Temporary / Resolved

During spring 2025, the SIRAS TOMS API automatic-update feature was temporarily disabled and later re-enabled. Historical notices are retained below; use Exporting TOMS CAASPP/ELPAC Data from SIRAS for current procedure.

CDE Data Quality Check Errors Displayed in SIRAS Current concept

Beginning in late 2024, CDE data-quality-check information was displayed in SIRAS to support correction work, including DRDP-related monitoring.

The Sped Data Support Team has worked with the CALPADS Team to temporarily disable SWDS0749E1 while we revise the trigger logic. The trigger logic is being revised to ensure that a student is Eligible and Participating on the enrollment exit date so they are included in the new End-of-Year 1 CALPADS Certification Reports 16.27 – SWD Completer and Dropout Counts and 16.28 – SWD Completer and Dropout Student List, which support Indicator 1 (graduates) and Indicator 2 (dropouts).
The SWDS0749E1 validation will be modified to trigger for the following School Completion Status codes and Student Exit Reason Codes if the SWDS record being submitted is 2 - Eligible, Not Participating or 4 - Not Eligible and the SWDS effective end date is the same as the enrollment exit date for students age 14 and older, in grades 7 through 12:

CDE Notice: Timeline Noncompliance Data Correction Deadlines (Click here for more)

Dear LEA and SELPA Representatives:
On April 1, 2026, the Data Evaluation and Analysis Unit sent notifications to SELPA directors informing them that lists of SSIDs who were initially identified as noncompliant in the Annual Determination Letter who were still noncompliant based on the data in CALPADS as of Saturday, March 28, 2026 were added to the SELPA's individual CDE Box Sites. If LEAs still had remaining noncompliant SSIDs, the SELPA directors should have reached out to LEAs and provided them the SSIDs.  The final Prong II pull will occur on Thursday, April 9, 2026 and any remaining SSIDs with timeline noncompliance as of that date will result in official findings of noncompliance. Therefore, if LEAs have not heard from their SELPA directors, we strongly encourage LEAs to reach out to their SELPA directors to confirm whether or not the district still has remaining SSIDs that are noncompliant and make any necessary corrections in CALPADS on or before Thursday, April 9, 2026. If you have specific questions about how to correct these records, please contact your Focused Monitoring and Technical Assistance (FMTA) consultant.

Dear LEA Representative,

For the 2025-2026 Academic Year, several Service Location Codes have been retired, including Service Location 570 – Charter School. Service Location Code 570 was retired at the request of SELPA, because Charter Schools are Regular Public Schools.

What Service Location Code should I use now?

For Charter LEAs that used this service location code, you should use Service Location 510 – Regular Classroom/Public Day School.

What about existing PLAN records? Do I need to amend the services and post an updated PLAN?

No, there is no need to amend existing plans solely to update the service location code. However, if the plan is being amended for any other purpose, the Service Location Code will need to be updated at that time. Additionally, when a student transfers into your LEA as eligible and participating with an active Plan, the Service Location Code should be updated when adopting the existing Plan.

When do I need to update the Service Location Code?

The Service Location Code should be updated during any Plan Review, Reevaluation, or amendment held on or after July 1, 2025.

Parent Response Update: The option for 'Does not accept the plan / stay put' will now be 'Does not accept the plan / stay put / no plan'

This allows for closing meeting documentation events for non participation scenarios.

The SIRAS TOMS API Automatic Update feature has been re-enabled. When using the TOMS API for single record updates, staff are strongly encouraged to closely review the results of the upload in TOMS.

Parent Response Update: Starting the second week of March the parent response of 'Awaiting Consent' will be relabeled to be 'Awaiting Response'.

The new 'Awaiting Response' will function exactly the same as 'Awaiting Consent' but with more clarity on the intent of the itinerant response.

UPDATE 3/27/2025:
The SIRAS TOMS API Automatic Update feature has been temporarily disabled.

Staff should continue to use the SIRAS CAASPP/ELPAC data exports to generate accommodation settings files for upload into TOMS.

Dear Local Educational Agency (LEA) Representatives,

 

 This is a reminder that the certification deadline for the 2024–25 CALPADS Fall 2 Submission is March 21, 2025 at 11:59 p.m.

LEAs are also reminded that there is no amendment window for the Fall 2 Data Submission.

 It is recommended that LEAs have zero fatal errors by February 28th so there is time for staff to review and approve their Fall 2 submission by the March 21, 2025 deadline.

 This February 28th milestone date is noted on the CDE CALPADS Calendar web page at https://www.cde.ca.gov/ds/sp/cl/rptcalendar.asp, and was noted in the CALPADS Digest emailed on February 7.

A new 'clear all' button was added to the MIS Summary page for staff who want to clear all errors displaying lots of DRDP errors.

9/20/2024 Native Language Update:

'Sign language' [sgn], has been replaced by 'American Sign Language' with new code of [ase] and the original [sgn] code now represents 'Other Sign Language' as it's new label.

This way the majority of Sign Language students speaking American Sign Language already had their language updated.
Then for the students who are not speaking American Sign Language, their native language can be updated to Other Sign Language as appropriate if it has not already been updated by your districts SIS integration with SIRAS.

9/17/2024: CALPADS Data Rollover for 24-25 school year is complete, we suggest waiting until 9/19/2024 before sending data to CALPADS again.

 

9/16/2024 43XX SELPA Merge: The districts and school of Santa Clara SELPA 4301, 4302, 4303, 4304 & 4307 have been merged into 4310.

There should be minimal to no impact on users.  If staff are having trouble navigating the view scope dialog box, contact [email protected]
