Finding Students by Marked Records

Marked Records are a reusable student-selection tool in SIRAS.
The same mark boxes and marked-record controls are used in several workflows. You may use them in Choose Student to build a custom Found Set, while creating a Service Log Group, or before Batch Edit to lock down the exact students who should be changed.
Find or display students → mark the intended records → Find only marked students → verify the count → continue with the next workflow
Learn the marked-record mechanics once; reuse them in different workflows.
Wherever SIRAS presents student mark boxes and the marked-record Find control, the basic pattern is the same:
Display the students → mark the intended records → use the marked-record control → verify the resulting group → continue with the destination workflow

The destination may be a custom Found Set, a Service Log Group, or a Batch Edit. The purpose changes; the student-selection mechanics do not.

1. How Marked Records Work

Marks are available on the right side of many SIRAS list views and in the Choose Student dialog.

The mark controls are available alongside the student list.

Marked Records are especially useful before Batch Edit.
If you found students by searching the same field that you plan to change, that search can stop describing the students after the value changes. Mark the intended students first, then use Find only marked students so the Batch Edit uses the selected student records rather than relying on the changing search value.

Found Set handoff:
After Find only marked students, verify the Found Set count before running a list, report, Service Log workflow, or Batch Edit.

This is useful when the group cannot be described easily by one search query, when you need a custom subset of a larger Found Set, or when the next workflow needs a stable list of specific student records.

In Choose Student, marks provide a quick way to hand-pick students or preserve a selected group. Mark the students you want, then use Find only marked students to make those student records the active Found Set.

The purpose is different, but the mechanics are the same.
You are still selecting student records with mark boxes. Instead of using the resulting group for Batch Edit, the selected students become the group you will use for Service Log work.

The same marking mechanics are used when staff create a Service Log Group. In the student-selection area, mark the students who should be included in the group, verify the selected students, and then continue with the Service Log Group workflow.

Open Choose Student or another student list that shows the mark checkboxes.

Check the mark box for each student you want in the custom group.

Use Mark all visible when the visible list contains the students you intend to select.

“Mark all visible” means the records currently visible in that list.
If the list is only showing part of the Found Set, do not assume every student in the Found Set was marked. Verify the marks and student count before continuing.

5. Use the Find Control Menu

Use the menu option that matches how you want the marks to affect the active student population.

The source article identifies these controls:

  • Find only marked students — make the marked students the active Found Set.
  • Omit marked — remove the marked students from the active selection.
  • Save marked as query — save the marked selection for reuse.
  • Mark all visible — mark the records currently visible in the list.
  • Clear all marks — remove the marks.

After choosing Find only marked students, check the Found Set count before using a report, list, Service Log workflow, or Batch Edit.

6. Use Marks With Batch Edit

For Batch Edit, the safest handoff is:

  1. find or display the intended students;
  2. mark them;
  3. choose Find only marked students;
  4. verify the Found Set count;
  5. open Batch Edit Help and apply the change.
