Allows you to replace data of one field for many records.

This feature is only available to users who have Administrator access.  Siras Systems suggest to contact [email protected] when using for the first time.   i.e. Setting all 12th graders to Not To Participate

  1. Perform search to isolate the 'found set' of records first by using the Search page (little magnifying glass).
  2. Make a note of the number of records located in the upper right hand corner.
  3. Go to Tools / Batch Edit area.
  4. Pick the field you want to update by selecting that field next to 'Replace which field?'.
  5. Pick the value you want to set into that field for your 'found set' next to 'Replace with value:'

Important, there is no undo.  Make sure your found set is correct. Make sure the field you are replacing is correct. Make sure the data you want to put into all of those records is correct.

    6. Once you are sure you have the right settings, click the 'Replace' button.

    7. In the next dialog box, verify the number of students is equal to the found set you are expecting to edit.
    8. Click 'OK' if it is correct.

You have just replaced successfully and a message indicating how many student records will appear in the upper right hand corner.

 

Here is an example to replace a Case Manager:

1. Search for a  Fred Flinstone's caseload using the search (blue magnifying glass).

2. Select 'Provider Role' under Replace which field:

3. Select Role 'Case Manager'

4. Select user to replace Fred Flintstone caseload with, which is Daffy Duck

5. Confirm the found set and who will be replaced with whom.

6. Click the 'Batch replace' button to execute the search.

 

                   

Note: Contact Siras Systems if you are not sure how to use this feature, because after it is executed there would be no 'Undo".
