Searches, marked-record selections, and some reports can change the Found Set. Student Lists, many reports, exports, and batch actions then work from that active student population.
| Need different students? Use Search Help to build or change the active student population. |
Need a stable hand-picked group? Use Finding Students by Marked Records to mark students and make only those records the active Found Set. |
| Need to see fields for these students? Use Student List Help. The list changes the fields displayed; the Found Set controls which students are on the list. |
About to use Batch Edit? Verify and stabilize the Found Set before changing multiple records. |
See the Current Found Set
The Choose Student control in the upper-left area of SIRAS displays a number representing the current Found Set. That number is a quick way to confirm how many student records are currently selected.
What the Found Set Controls
Think of the Found Set as the current student population that downstream tools use.
- Student Lists: the Found Set determines which student rows are available; the list layout determines which fields are displayed.
- Statistical Reports: the Found Set is the population used for the report total and breakdowns. See Statistical Reports Help.
- Student Data Export: verify the Found Set before generating an export. See Data Export Help.
- Batch actions: the Found Set is especially important because the action can affect every record in the active group. See Batch Edit Help.
Do not assume the records visible from a previous search are still the intended group. Confirm the count and, when the task is high impact, inspect representative records before proceeding.
Use Marked Records to Stabilize a Group
Marked Records are useful when you need a hand-picked or stable subset of students. Display the students, mark the intended records, use Find only marked students, and verify the resulting Found Set before continuing.
For the complete reusable marked-record workflow, including use with Choose Student, Service Log Groups, and Batch Edit, see Finding Students by Marked Records.
Meeting Report Results Are Different
Predefined Meeting Reports can return meeting/report records rather than the normal student-record Found Set. If you need to take the students represented by those meeting results and then run a student-level list or statistical report, use the Choose Students control above the meeting-report results to translate the meeting results into a student-record Found Set.
This distinction matters because a meeting result is a different type of data record / archived transaction than the current student records used by many student-level reporting tools.
For Meeting Report mechanics, see Meeting Reports Help.
