How to send specific records from SIRAS to CALPADS

This statement can have several meanings.

 

  1. If we want to know how to send data 'in general' to CALPADS, that information can be found by clicking here.
  2. If we want to know 'what' is sent from SIRAS to CALPADS, it is the data contained in an 'archived transaction', you can learn more about that by clicking here.
  3. If we want to know how to send data from one record in SIRAS to CALPADS, read further.

 

To fix error where an archived transaction was missing information like a meeting delay reason.

To fix an error where an archived transaction had wrong or outdated information like program setting or % in Gen. Ed.

 

All we need to do is find the student record.

Go to the MIS summary page.

Select the archived transaction that we need to fix.

Click open archived record for editing.

Fix the data in the archive.

Click the Edit CALPADS reporting button

Then change the report status from Complete to Pending to send whole archive

OR change report status from Complete to Plan Only to send just the updated Plan/Service records.

If there was a posted Error at top of MIS, remove that error or the pending record will not send.

Then send data again.

 

It is the changing of the report status from 'Complete' to 'Pending' that tells SIRAS we need to send this archived transaction to CALPADS again.

 

In the example below, staff have mistakenly filled out 0% in Gen. Ed. instead of 100% in Gen. Ed. for a student in regular childhood program setting 400 prior to the meeting being finalized.  The % was later fixed but not archived and this % value should have been sent with the plan at the time.

 

We need to open the archive, fix the % in Gen. Ed. and resend the original archive.
