Show Me: Force Finalize or Abandon a Meeting Using Disable Validations

Administrator only — District Admin 1 or higher.
Use this procedure only when the meeting needs to be closed and you have determined that the normal validation warning can appropriately be bypassed. Disabling validations does not correct underlying data; it allows the administrator to finalize or close the meeting despite the validation.
Before you disable validations:
  • Confirm why the meeting cannot or should not be completed through the normal validated workflow.
  • Add a summary of the reason in the Scheduling Notes.
  • Add other important context to the meeting Notes form when appropriate.
  • If this is a reactivated meeting showing the message “Current Goal(s) need to be updated with final progress,” first review Problems With Reactivated Meetings. That known scenario can produce a misleading validation message.

Disable the Meeting Validations

From the meeting's Forms Manager, open Print/Preview/Options.

Select Disable validations for meeting held/finalize.

District Admin 1 or higher can disable the meeting-held/finalize validations when the workflow requires it.

Choose How This Meeting Should Close

After validations are disabled, the administrator can proceed to the meeting completion/finalization controls.

If the Meeting Was Held

  1. Indicate that the meeting was held.
  2. Make sure Meeting Complete is checked.
  3. Select the correct parent response.
  4. Select Finalize Meeting.

Finalize the meeting only after confirming that the meeting-held status and parent response accurately describe the event.
Parent response still matters.
Disabling the validations does not remove the need to record the correct parent response when the meeting was held.

If the Meeting Was Not Held

If the planned event will not be completed and you need to preserve its history rather than delete it:

  1. Make sure Meeting Complete is not checked.
  2. Select Finalize Meeting.
  3. Select the most accurate reason for closing the meeting.

Available reasons can include:

  • Unresolved — To be continued
  • Parent did not give permission for assessment
  • Parent did not make child available
  • District denied assessment
  • Transferred during meeting
  • Private School Evaluation Only (No Plan Offer)
  • Abandoned meeting

Select the reason that most accurately explains why the meeting is being closed without being held/completed.

Then select Finalize.

Complete the final confirmation after verifying the selected reason and meeting status.

After the Meeting Is Closed

Review the student's status and Current data to determine whether any separate follow-up is required. Do not change eligibility, history, Current Goals, or other student data merely to make a validation disappear.

If this procedure was used because a reactivated meeting displayed an unexpected validation, document the scenario and verify that the meeting now reflects the intended completed/not-held outcome. See Problems With Reactivated Meetings for known reactivation-specific issues.
