This worked example shows how to apply the Student Record Offboarding workflow when a student is no longer enrolled in the district but is known to be continuing in special education within California.

The student is no longer actively enrolled in the district. CALPADS shows that the student exited on 6/10/2026 using SENR exit reason E230 and Completion Status 480. The student is known to be continuing in special education within California.

Always use the actual SENR exit reason, completion status, enrollment destination, participation facts, and current crosswalk. A different combination may require a new SWDS status and an Archive for Reporting.
2. Verify the CALPADS Enrollment Exit
Review the SENR enrollment history
Confirm the student’s CALPADS enrollment exit information before changing the SIRAS record:
- Student Exit Reason: E230
- Completion Status: 480
- Enrollment Exit Date: 6/10/2026

3. Use the Exit-to-SWDS Crosswalk
Determine whether statewide participation changed
Look up the SENR exit and completion-status combination in the Appropriate SWDS Status and Non-Participation Reason crosswalk.
For this example, the crosswalk indicates that SWDS [1] Eligible and Participating remains. The student’s local SIRAS record must close because the student is no longer enrolled in this district, but there is no statewide special education participation change to report.
The crosswalk determines whether the local inactive action also requires a new SWDS transaction.
4. Make the SIRAS Record Inactive
Enter the local inactive action
Open Edit Status in SIRAS and enter:
- Status to set: Inactive
- Inactive Date: 6/10/2026
- Type of Inactive Reason: Moved and known to be continuing (within CA)
- Inactive Reason: [76] Moved and known to be continuing
The SIRAS inactive date matches the verified CALPADS enrollment exit date.
5. Decide Whether to Archive
Do not create an Archive for Reporting in this example.
The crosswalk indicates that SWDS [1] remains. The district is closing only its local Current record because the student is no longer enrolled there. No new statewide SWDS event is being reported.

6. Verify the Final Result
- The SIRAS Current record is Inactive.
- The Inactive Date is 6/10/2026.

- No new Archive for Reporting was created.
- No “No Longer Eligible” or other statewide participation-end status was entered merely because the student moved.
