Reportable Exits

This is a useful predefined query for EOY 4

 

​Reportable Exits are students who have a recent inactive reason that requires the district to report the transaction.

By recent we mean within the given academic year starting 7/1 thru 6/30 of the following year.

 

The exits in this list should be roughly comparable to what you see in your 16.22 and 16.23 reports from CALPADS.

 

Important EOY4 Action Item:

  • Click Search
  • Click Predefined Queries
  • Under Data Monitoring Queries
  • Run the 'Inactive records requiring archive' button
  • There should be no records on this list.

 

If there are then they need to be archived and reported to CALPADS.

OR if the inactive reason was reported to CALPADS, it may be that the inactive date in current doesn't match the archive below.

In that case make sure the correct inactive date and reason were reported to CALPADS.

So after the inactive reason is entered into SIRAS, there needs to be an archived transaction that reports the SWDS status or non participation change.

Archived transactions are created in two ways,

  1. Meeting events in the IEP Manager
  2. Manually clicking the 'Archive for Reporting' button on the MIS Summary page.


If the SIRAS inactive reason is one of the following updates to the record:

  1. SPED not eligible
  2. SPED no longer eligible
  3. SPED not participation
  4. SPED not enrolled

 

Then this update needs to reported by SIRAS to CALPADS either by the meeting that documented it, or by the District SPED staff person archiving the MIS page after the inactive date/reason have been saved.

 

If there was inactive reason created by a meeting that was reactivated, or staff were using an Other Review, definitely double check the archive on the MIS Summary page to see if the inactive status is correctly reflected in the archive associated with documentation of the inactive status in SIRAS.

 

 

Data Monitoring Tip for finding un-archived records that may need to be archived.

  • Go to the Reportable Exits Predefined list as described below.
  • But then click on the 'modify' button where the 'search' button usually is.
  • Click on 'Predefined Queries'
  • Then click on 'Inactive Records requiring archive'
  • This will be a smaller found set.
  • Go to the MIS Summary of each record and see if there is an archive that has inactive reason archived.
  • Typically there is not and the record needs to be archived.
  • If you do see an archive, it may be that the inactive date of the archive does not match the current inactive date. This will have to be reviewed individually. You can reach out to [email protected] with the SSID of the record in question for us to review.

This will find all reportable exits and list their status.

  • Complete – Assumption is CALPADS has been updated. Feel free to verify.
  • Pending – The archived transaction has been created but has not yet been sent to CALPADS.
  • Unreported for MM/DD/YYYY – ACTION REQUIRED:The date is the inactive event date that does not yet have an archived transaction ready to report this exit to CALPADS. ACTION REQUIRED: Click the archive for reporting button on the MIS Summary page.
