We have a new student in our district, what do we do?

 

Student is arriving as: (Check CALPADS first!)

[Already Eligible and Participating]|[Eligible Not Participating]|[Not Eligible]|[Private School]

 

If the student arrives as eligible not participating, no plan adoption is needed.

But If the IEP team wants a record with which to document contact with parents or follow up meetings, then we need to get a record for them to work with.
 

One thing to pay attention to is what Siras believes the students status in CALPADS is.

If the last status in CALPADS is Eligible Not Participating, and Siras has no most recent archive that also represents Eligible Not Participating, the automatic SWDS change feature of Siras will not work.

Misalignments between Siras active status and CALPADS can be an indirect cause of SWDS0618 errors.

 

  • If the student arrived as continuing to not participate in your district, even after IEP team reaches out to parents, there is nothing to report from Siras.

 

  • If the student arrives as not participating, but will start participating at your district we will need to send a new SWDS record indicating that participation started.

 

If the student came from a Siras district, look to see the most recent archive from the previous district.

Is it inactive as eligible not participating already and correctly matches CALPADS?

If so, then if the next archive created on the MIS (by manually archiving or a meeting in the IEP Manager) while the current data has an active status of Active will automatically have the new SWDS = 1 as of the plan effective date and will correctly report the new participating status automatically.

 

If you have an old outdated record or new record (with no previous eligible not participating archive present) the very first 'active' archive created by your district will not have the SWDS automatically created. The resolution is to resend that first archive with the reporting status of SWDS Only.
