Use the Service Minutes Report when you need calculated service-minute information.
The report can summarize delivered Service Log minutes and compare them with estimated expected minutes for the selected reporting period.
Need the individual Service Log entries instead?
Use Export Log Data when you need the underlying Service Log records without Minutes Report calculations.

Choose the Students for the Report

Start by locating the student or group of students whose Service Logs you want to review.

Open Service Logs after selecting the applicable student population.

Find a Larger Group by SSID

When you have a list of SSIDs, the SSID List (CSV) search criterion can be used to find multiple students at once. Enter the SSIDs as a comma-separated list and search to create the applicable Found Set.

Display the Minutes Report

Select Display Minutes Report to review the report in SIRAS before exporting it.

Display Minutes Report opens the calculated report for the selected student population.

Use the report to review the available Service Log information and identify corrections that may be needed before producing a final export.

Review before exporting:
When possible, correct missing or inaccurate Service Log information in SIRAS first. Then regenerate the Minutes Report so the final export reflects the updated Service Logs.

Set the Minutes Report Options

The Minutes Report options control what is included and how the information is summarized.

Report Type

Select Monthly or Daily depending on how you want the service information organized.

Include or Exclude Specific Services

Use Include only or Exclude only when the report should be limited to particular service codes.

Service Codes can be included or excluded, and Group All Services controls whether service totals are combined.

Group All Services

Group All Services combines applicable services when calculating report totals.

Leave this option off when you need to review services separately. Turn it on when you want combined service totals in the report.

ESY Services Only

Select ESY Services Only when the report should include only services identified as Extended School Year services.

Include Absent Logs

Include Absent Logs determines whether Service Logs marked absent are included in the minute calculations.

Expected Minutes, Differences, and Percentages

  • Expected Minutes — displays an estimated amount of service expected during the reporting period.
  • Differences — calculates the difference between delivered and expected minutes.
  • Percentages — shows delivered minutes as a percentage of expected minutes.

Understanding Expected Minutes

Expected Minutes is an estimate. Service frequencies must be interpreted across the applicable reporting period, and different months can contain different numbers of school days.

The number of school days varies by month, which affects estimated expected-minute calculations.

For services with different frequencies, such as daily, weekly, or monthly schedules, SIRAS uses the applicable reporting period to estimate expected minutes.

If expected minutes, delivered minutes, absences, or historical results do not look right, see the Service Log FAQ for troubleshooting.

Export the Minutes Report

After reviewing the report and selecting the appropriate options, select Export Minutes Report.

Export Minutes Report sends the report to the Data Export area.

Use Export Minutes Report after the report population and options have been reviewed.

SIRAS opens Data Export with the Service Log Minutes Report data set selected.

  1. Review the Report Type, date range, Service Codes, and other report options.
  2. Confirm whether Group All Services, ESY Services Only, or Include Absent Logs should be selected.
  3. Choose whether to include Expected Minutes, Differences, and Percentages.
  4. Change the filename if needed.
  5. Review the file and date-format options.
  6. Select Start Process - Generate Export.

Review the Minutes Report options in Data Export before generating the final file.

Download the Finished Report

After the process finishes, locate the generated file under My Finished Exports and select Download.

Completed Minutes Report exports are available under My Finished Exports.

The downloaded report can include monthly service values and summary information such as total provided minutes, total expected minutes, and percentages, depending on the selected report options.

Verify the result:
Open the downloaded report and confirm that it contains the intended students, reporting period, services, and report options before using it for further review or reporting.

Need the Raw Service Log Data?

The Minutes Report performs calculations. If you need the individual Service Log entries without those calculations, use Export Log Data.

The raw Service Log export can be useful when you need to review individual entries or perform your own calculations outside of the Minutes Report.
