Using the Siras Minutes Report:

  1. If the entries are correct, it saves time in calculating them.
  2. If the entries not correct, they can be adjusted as needed in a final draft of the Minutes report.
  3. Final draft of the Minutes Report can be created once all possible logs are added and corrected in Siras.

 

How to stop viewing a Service Log Group:

  1. Click on your found set or search for a specific student and go to one student record.
  2. Go back to Service Logs
  3. Service Log group searches reset when a specific student is chosen.

 

How to run the Minutes Report as a Case Manager:

  • Find group of students to run the Minutes report on.
  • Or find one student to report on.
  • Click Display Minutes Report                                                  
  • Select Desired Options like (including absent minutes)    
  • Include only services you want or exclude others                     
  • Click on Export Minutes Report                                              
  • Verify the Report Options in the Data export area
  • Un-select 'Group All Services' while reviewing and editing logs
  • Select 'Group All Services' when creating the final draft of the Minutes report for final adjustments.
  • Select 'Include Absent Logs' to have those minutes count.
  • Change filename as appropriate
  • Click Start Process - Generate Export
  • Find file to download under My Finished Exports

 

How to run the Minutes Report for CDE IEP Implementation:

  • Find group of students to run the Minutes report on.
  • Use ‘SSID List (CSV)’ with an SSID, delimited list of the SSIDs to find students. (save the query)
  • Click on Export Minutes Report
  • Set the Report Options
  • Leave default for 'Include absent logs' off. Per CDE guidance.
  • Unselect 'Group All Services' while reviewing and editing logs
  • Select 'Group All Services' when creating the final draft of the Minutes report for final adjustments.
  • If current CDE guidance is to include absences, then check: 'Include Absent Logs'
  • Change filename as appropriate
  • Click Start Process - Generate Export
  • Find file to download under My Finished Exports

 

Useful Tip: Use the Siras ‘SSID List (CSV)’ in the search query builder. You can search for lots of students by using the SSID separate by commas. Ex. Searching 4 students all at once with their SSIDs by using the following string method Just put the SSIDs all in a line, separated only by ‘,’ commas. EX: 1234567890, 2345678901, 345678912, 456789123

 

 

 

 

Report/Export Options:

  • Report Type: Monthly or Daily
  • Include Only/Exclude only: This allows staff to include or exclude specific services.
  • Group All Services: Toggle calculating totals all combined or individually.
  • ESY Services Only: Only include services indicated as ESY.
  • Include Absent Logs: Default is off to comply with original CDE IEP Implementation monitoring instructions. If that has changed, then be sure to check this option to include absents for local reporting purposes.
  • Expected Minutes: This is an estimate of how many monthly minutes were expected during the month. See * as this function is a work in progress.
  • Differences: Calculate and show the difference between delivered services and expected.
  • Percentages: Show what percent the delivered minutes is of the expected minutes.

 

Export Log Functions:

Search: Use the Search to search ‘between’ 3/1/2023 and 4/28/2023 to search for all your students who have these logs.

Display Minutes Report: Click this first to view the minutes report.

Export Log Data: If you want just the log data exported by itself.

Export Minutes Report: This is the export that CDE is wanting which can be used to compare delivered minutes to the expected minutes for a found set of students.

 

 

 

By default Siras includes all applicable services grouped together in column F

Then after the last month included in the report is the ‘Total Provided’ column

This the column where all the service minutes are added up as best we can.

 

When one student gets services with varying frequencies, ex: daily, weekly and monthly we have to convert them to daily for the given month.

Not all months have the same number of days so this is estimated number.

 

Staff can export raw service logs to do their own by hand calculations if they wish to compare.

Use the ‘Export Log Data’ button for that purpose.
