Service Log Help

Use a Service Log group when you regularly document the same session for several students. A saved group can be reused, students can be added or removed as needed, and the group workflow allows shared session information to be entered once before completing student-specific details.

Open the Service Logs Area

Open Service Logs from the student shortcut or Service Logs area.

Open Service Logs to create or work with a Service Log group.

Create a Service Log Group

  1. In the Service Logs area, select Create New Group.
  2. Use Choose Student to find the students you want in the group.
  3. Build or select the applicable student Found Set.
  4. Add that Found Set to the Service Log group.
  5. Enter a useful name in Group Description.

Create New Group begins a new Service Log group. Choose Student is used to find the students who will be included.

Find or mark the students you want to include in the group.

If you have marked students in the student list, you can use the marked-student search controls to create the Found Set you want to add.

Find only marked students can be used to build a Found Set from students you have marked.

Once the correct students are in the Found Set, select Add Found Set to Service Log Group.

Add Found Set adds the students currently in the Found Set to the Service Log group.

Verify the group:
Confirm that the intended students appear under Students in Group before using the group to create Service Logs.

Name and Maintain the Group

Use Group Description to give the group a recognizable name. The description can be changed later if the group needs to be renamed.

Group Description names the group. Students currently included in the group appear below it.

Add Students to an Existing Group

Select Add Student(s) when additional students need to be added to the saved group.

Use Add Student(s) to add students to an existing Service Log group.

Remove a Student from the Group

Select the small X next to a student's name when the student should no longer be included in the group.

The X removes a student from the group. Removing the student from the group does not remove Service Logs that were previously created for that student.

Create Service Logs for the Group

When the group is ready, select Create Service Logs For Group.

The group-entry screen separates information that applies to the whole session from information that must be completed for each student.

Complete the Shared Session Information

At the top of the group Service Log, review or complete the information that applies to the group session:

  • Service Provider and Provider Role
  • Service Log Type
  • Service
  • Service Date(s)
  • Duration or applicable time information

The information at the top of the group entry applies to the session being documented for the group.

Complete Each Student's Details

After the shared session information is entered, review each student and complete the applicable student-specific details, including Session Delivery, Attendance, and Notes.

Dates and duration are entered for the session, while each student's delivery, attendance, and notes are reviewed individually.

Validate and Save the Group Service Logs

After reviewing the entry for each student, go to the bottom of the group Service Log page and select Validate and Save.

Select Cancel if you do not want to save the group entries.

Validate and Save completes the group Service Log process after the student-specific information has been reviewed.

Verify the result:
After saving, confirm that the Service Log entries appear for the intended students and contain the expected service date, duration, delivery, and attendance information.
