New changes in effect on July 1.

The ability to query for DRDP adaptations has been added to the Query Builder
-
Once an assessment plan is marked as received with permission to assess, teams will see the option to create an assessment log. This link takes the user to a simplified version of a log where the type and time of assessment can be tracked. This is a helpful way to monitor assessment history. Follow your district’s guidance with regard to using this feature.

All active SIRAS records (IEP, 504 and SST) will be grade advanced on the weekend of July 18th-19th and Next Year's Data will be applied.

The SIRAS Training server will be copied over from production at a later date. This means that any documents that you may have created in the training server will be deleted. Download and save items you need from the training server in advance.

SIRAS Office Hours with Ventura SELPA for Training of Trainers (ToTs)/Advanced Users/District Administrators have been scheduled for the 2026-27 school year, starting August 13. Check the SIRAS 4 Ventura Padlet and SELPA Workshops Padlet for the flyer & zoom link.

The grade rollover and advancement of Next Year’s Data will occur on the weekend of July 18th- 19th. See the instructions posted on the SIRAS User Manual for procedures prior to and following the rollover.

Prior to the rollover, finalize all meetings that have a Parent Response. These are the meetings listed by default on the home page as “Ready to Finalize”.

Prior to the rollover, review all meetings that are still Awaiting Response and make an effort to obtain the consent and signatures. If the student is not transferring to a new district, the meeting can be left open during the rollover, but will need to be reviewed in the Fall.

For students that are transferring to a new district, and still have a meeting that is Awaiting Response, there is a deadline to obtain consent, and the meeting must be finalized before the new district can receive the record. If consent and signatures are not received in time, the meeting must either be abandoned be finalized as “Parent Contacted, No Response” which does not accept or report any changes to the plan.

Students with Pending IEP status and open Initial IEP meetings that will be transferring to another district, where parent consent is in one district and the Initial IEP will happen in another, close the meeting as abandoned and have the new district open a new Initial IEP with the same referral dates. Request assistance from [email protected] to open the new initial in the new district.

After the rollover, search for students who you anticipated would have been transferred upon the rollover. For example, review the Statistical Reports for students with Active/Pending status by grade to see if you have students in 9th grade (and you are a K-8 district). If a student will not be continuing with you, inactivate the record and contact the next LEA to have them request the record.

After the rollover, review any open IEP meetings. Remind staff they will need to be continued when school begins. After the meeting is finalized, review the record and update the grade, school, and providers if needed. See the instructions posted on the SIRAS User Manual.

After the rollover, search for students without a Case Manager and assign one. At that time, update your caseloads with new providers and school changes.

Meetings finalized as “Parent Contacted, No Response” may be Reactivated for Signatures. This will allow the e-signature links to function and open up the signature pages temporarily. The meeting will need to be re-finalized once signatures are obtained.

For staff who are not returning in the fall, Deactivate their User account and reassign student associations.

Enter Progress Report dates and School Holidays in excess of 5 days in Tools/SELPA-District-School Admin for the 2025-2026 school year. You do not need to enter all your school holidays for the year, only school holidays that are in excess of 5 school days as these will help more accurately determine the 60-day timeline from parent consent. Individual holidays are useful to include as well if your team is using the SIRAS service logs to monitor IEP Implementation.

The SELPA’s Fall 1 training meeting is scheduled for September 15th, in-person at VCOE from 8:30-12:30 with Brian Marcontell. Unfortunately, we were not able to schedule the in person CALPADS Fall Roadshow here at VCOE this year. We will make sure you know the schedule of Fall Roadshows in time to register for one of them.
