This predefined query looks for inactive records that have a reportable Inactive reason that has not been archived yet.
Generally you will want to archive all these records to report these exits, assuming the inactive information is correct.
Why do we review this list?
- The inactive reason is a reason that will report an updated SWDS status for this student.
- If a student withdraws or stops participating, we need to report this so the student doesn't appear as overdue in CALPADS.
When would we not archive a record on this list?
- If the inactive date/reason was already reported to CALPADS by another district.
- This would imply an 'exit' was put into SIRAS to reflect the current status of an incoming student to your district.
- If data that didn't happen in SIRAS is being entered into SIRAS, SIRAS doesn't know that it's for reference only
- Use your discretion or contact [email protected].
Why is a record on this list that already has an archive?
- Look closely at the inactive date / reason of the archive.
- Look closely at the inactive date / reason of the archive.
- You will see they are not the same, typically the archive has a different inactive date than what is in current data.
- Research this to find the correct inactive date and make the current and archived data in alignment.
- If the wrong inactive date was sent, remove that data from CALPADS and resend the archive again.
