How can I create custom service minutes reports from exported service data?

If your district is using SIRAS Service logs, minutes reports of expected vs delivered are available in the service log minutes reports area.

That report was designed to help staff with IEP Implementation audits CDE is having district do annually.

 

 

However staff may want to report on the minutes promised in the plans to students for all services or some services regardless if Service Logs have been done.

What we have below is a way to export those minutes into excel where excel calcultions can be added to the data to create custom minutes reports.
The file won't have minutes totals but those are easy to do with SUM(starting cell, ending cell) calculations in Excel.

 

 

If you want to report on all services or some services for one or several students, the first step is to find that one student or all the students into your found set.

This may  be one school, or one providers caseload or the entire district.

 

Once you have the found set of students you want to export 'services' for we go to /tools/data export.

 

Since we want to export all or some Service data, change the data set to be 'Service Data'

 

 

 

If you want to include all the Services, leave the option for 'Include Only' blank.

 

If you want to focus one or more specific services to be exported only, then click in the Include only and select the specific services to include.

 

 

If you accidentally include a service you don't want, look for the tiny X to the right of the service and clicking that will remove the option.

 

The option for labels/codes is a personal preference

 

If you leave the default 'label' for the example above where we are including only speech and language, when the service name is exported it will literally be just 'Speech and Language'

If you set the option to 'code', for the example above, the data in the service column would be contain '415'

If you set the option to 'code and label', the data in the service column would be contain '415 Speech and Language' (this is suggested but is is a personal preference)

 

When you originally selected the Data Set of 'Service Data'

The set of services was automatically built for you in the Choose Fields area.

Use the scroll bar on the right to see all the data that will be included with the export as is.

 


However if you are doing an export say of speech and language minutes only, you probably want to include the  provider(s) data columns as to who is providing those services.

 

In this case we need to find 'Speech Language Pathologist' in the left hand column.

 

NOTE, if you use the Service Log Minutes Report at this stage instead, you don't get a choice of what columns are exported. The Service Log Minutes Report will include Case Manager but not Speech Language pathologist.

 

Select it on left hand side and click Add, or just double click on the field in the left hand column to move it to the right hand column.

 

Once the extra field for Speech Language Pathologist has been added to the right hand column, we are ready to do the export!

 

Verify the filename you want and the file format as well.

 

 

Then click the Start Process - Generate Export button

 

Once the export is done you will see a notification at the top of the page

 

 

Then scroll down to My Finished Exports

 

Click on the Download button to access your custom report file!
