Three perspectives technique for CALPADS error resolution

Before we begin trying to move forward with getting the SIRAS record ready for the IEP team.

Before we begin trying to resolve a CALPADS error.

 

We must apply the three perspectives technique to make sure we don't waste time chasing solutions to wrong data.

 

There are three sides to the story when setting up a new student or resolving a CALPADS error.

 

  1. The data we see in CALPADS
  2. The data we see in SIRAS
  3. What we know actually happened from the IEP team perspective

 

It is important that we evaluate all three perspectives, with emphasis on number three, the IEP team.

 

It is very possible that one or both of CALPADS and SIRAS have incomplete information as of the date of arrival of a new student.

It is very possible that one or both of CALPADS and SIRAS have incomplete information as of the date of CALPADS error getting posted.

 

Assume 1 and 2 are true, but verify by conferring with the third knowledge source of the IEP team.


We can't begin to 'fix' SIRAS or CALPADS until we know what story happened in the field from the IEP team.

 

Once we know the whole picture, we may need to fix SIRAS data.

Once we know the whole picture, we may need to fix CALPADS data, by sending or resending data from SIRAS.

 

In most cases, just fixing CALPADS to have the correct  data to represent what we learned from data source 3, the IEP team, is the solution to the error.

 

But sometimes the error isn't due to a meeting in the past not reporting something correctly, the error may be related to a new update in SIRAS that was done incorrectly or was done using district enrollment or a plan effective date that aren't in alignment with your districts CALPADS enrollment.


Fixing CALPADS can be replacing missing data, or removing data with bad dates and replacing it with data that has better dates. (Dates that coincide with overlapping enrollment.)

Fixing CALPADS can be adding new data in response to enrollment changes

  • Newly enrolled SWDS 1 needs plan adoption

Fixing CALPADS can be adding new data in response to a wrong meeting type chosen in SIRAS that didn't report an annual plan review or triennial reevaluation

Fixing CALPADS can be adding new data in response to changes in eligibility that didn't follow the proper procedures in SIRAS
