Queries involving Archived Records
The advanced/historical query build has some powerful tools which can query for and compare historical record data to get your desired result set.
How to find records from your district even if the 'current' is no longer at your district, or changed to 504 Plan, etc.
When you are on the MIS Summary page, you see the 'archived' records menu.
This method allows you to find these archives from the past.
In the screenshot example below, we will look for archives representing the meetings held in your district during the 2021 - 2022 school year.
If you are looking for one record search for the SSID or student ID in the search bar up top.
When no records are found that is normal as the record isn't in your district.
- Click Modify
- Select Historical/Advanced Query TAB
- Change Historical Query Type from Current record to Archived Records
- Modify the Date Criteria to have a date range to include the report event date of the archive
- Click Search to List
- The list will include dates in the student name links to indicate the date of the archive.





The following is an example of a way to query for records that have dropped a Speech Service.
Method 1- find archived records where current record has changed
- a Most Recent Archive As Of query
- Date Range could be last academic year, or going back 2 years. This needs to include the date of the archive where the student has the service 415.
- Search criteria = Active Status, All Services = 415
- Comparison Criteria = Services Has Changed
This will contain results of Archived records where:
- Report event date within the date range
- Archived record has service 415
- Archived record is at your district/SELPA (user-based restrictions)
- Current record does not have service 415
- Current record could be anywhere.
Method 2- find current records that are different from the archived record
- Archive Exists Query
- Date Range could be last academic year, or going back 2 years. This needs to include the date of the archive where the student has the service 415.
- Search criteria = Active Status, All Services = 415.
- Set Exclude on the service 415
- Comparison Criteria = Services Has Changed
This will contain results of Current records where:
- Report event date within the date range
- Archived record has service 415
- Current record does not have service 415
- Current record is still in Special Ed and at your district/SELPA (user-based search restrictions)
