Current Data:

 

Current data is what you see on the MIS Summary page for any given record, think of it like being on the 'surface'.

This is data that is 'currently' seen on the surface of any given SIRAS UI page that is not form related. It is the most recent data.

 

What is seen on the surface of the MIS Summary page determines the current SWDS, MEET, PLAN and SERV once the archive for reporting button is clicked on.

What is seen in the IEP Manager forms is considered the 'future' SWDS, MEET, PLAN and SERV yet to applied on the MIS page as 'current'.

 

This information as seen on the MIS page is generated by the the IEP paperwork process.

 

Whatever is on the MIS Page 'currently', is what populates the forms of an IEP manager event when it is opened.

 

When the IEP manager event is closed, the approved data is pushed back to the MIS Summary page and updates it.

 

On the actual date like 10/2/2024 the current data being viewed in SIRAS or any SEDS system on that date holds reporting value.
So make sure to export it on that actual date on each Fall 1 of the academic year.

 

SIRAS is 'current' date focused.

If we need to know how many students were 'on SPED as of 4/1, or some quarterly date in the past', then we need to literally extract 'current' data on that date and set it aside for when the reporting on it needs to be done.

 

Current data on the MIS Summary page has several data types represented: student, service, contact, provider and post secondary survey answers.

 

SIRAS active/inactive status in SIRAS determines the SWDS status.

 

Current data is a reflection of current enrollment and referral status.

Current active records in SIRAS should correspond to the number of enrolled eligible and participating SWD in the district.

 

If a student leaves, the record should be made inactive.

If a student newly arrives (or returns) and is confirmed to begin participating, the record should be made active.

If a student newly arrives (or returns) and the students participation status is unknown at the time of arrival, the record should be made pending. If a non participation reason is present, it should not be removed.

 

The student records that have active status = active should already be enrolled and participating, or will be soon.

The student records that have active status = pending status are in a follow up status working toward being active or being closed out as inactive status. Local decision on how long records can stay pending.

The student records that have active status = inactive are not eligible or not participating, or just not in the district anymore.

 

When records need to be made inactive, we need to be mindful of remembering to archive the reportable inactive reasons.

 

 

 

At the time an archive is created, the Current data as seen on the MIS page is what is cloned/coped into the archived transaction that is seen beneath the surface of the MIS Summary page UI.

This transaction may be created by SEDS coordinator using the 'Archive for reporting' button on the MIS Summary page to update the program setting of a new 5yo in TK or K.

Or more likely the transaction will be created at the conclusion of an IEP manager event like an amendment, other review, 30 day review, annual plan review or triennial reevaluation created in the IEP manager.

IEP manager events automatically create archives once the meeting is closed.
