Data Export: Special Education and Section 504 Data from SIRAS to SIS

This is the canonical SIRAS → SIS export-file reference. It documents the SIRAS-generated files a district SIS can consume or use locally, including Special Education student/status data, service data, Section 504 data, and the legacy/Aeries file formats.

Districts using the SIRAS 504 module need a dependable 504 handoff to the SIS.
The SIS is responsible for the district's Section 504 reporting to CALPADS, including the applicable Program 101 workflow. Where supported, automated use of 504StudentData.csv is preferred. If the SIS cannot automate the exchange, the district still needs a defined manual process so new 504 participation and 504 exits are communicated to the SIS.
Using studentData.csv to identify the current Special Education population:
When a district uses studentData.csv to seed or reconcile current Special Education participation in its SIS, Inactive Reason should be blank. A populated Inactive Reason identifies an inactive/exit condition.
Recommended for new integrations
Use studentData.csv, serviceData.csv, and 504StudentData.csv. The legacy tableA.csv and tableB.csv files remain available for established processes but are not expanded with new fields.

Retrieve the Files After SFTP Access Is Working

This article does not repeat the SFTP host, port, username, password, or firewall setup. Use SIRAS SFTP: Secure File Exchange & Connection Settings to establish and manually verify the district account first.

  1. Confirm which SIRAS export files the district SIS will process.
  2. Confirm the files are being generated in the district SFTP location.
  3. Schedule the SIS retrieval after the current nightly files have been created. Use the actual file timestamps when selecting the import time.
  4. Process the current files in the SIS test/Training workflow.
  5. Review record counts, matched/unmatched results, rejected rows, and representative students.
  6. Approve the receiving-SIS behavior before relying on the automated Production job.

File Names and Populations

Inactive records require an archive.
A record made Inactive without a matching archived transaction may not appear in the export. Use Inactive Records Requiring Archive to monitor and resolve those records.

Recommended SIS Processing

  1. Match students by SSID whenever possible.
  2. Use the header names rather than fixed column positions.
  3. Treat demographic fields as reference data when the SIS is the authority.
  4. Display coded values and their label columns together when both are present.
  5. Process student records before dependent service records.
  6. Retain the completion log, rejected rows, and record counts.
  7. Do not treat a successful SFTP transfer as proof that the SIS import completed successfully.

How to read this table:
Legacy / related field shows the corresponding established or legacy field when one exists. Notes is reserved for implementation guidance that is not already clear from the Description. For demographic/reference fields, the main SIS remains the data authority; SIRAS values generally should not overwrite those SIS fields when data is imported back.

Other Uses for Service Data

serviceData.csv is available for local use but is not a primary SIS-integration target. Districts can also use Service Export or request custom service-report extracts for local workflows such as County Office billback/reconciliation. SIRAS service logs can also support the MediCal billing workflow described in MediCal Billing in SIRAS.

Aeries / Legacy tableA.csv and tableB.csv

SIRAS continues to generate tableA.csv and tableB.csv for established integrations and for the supported Aeries Special Ed Data Import workflow.

  • tableA.csv — student/Special Education file.
  • tableB.csv — service file associated with the student records.
Aeries districts:
These files are not merely historical artifacts. They remain the supported files used by the Aeries Special Ed Data Import. Configure the Aeries retrieval, filenames, schedule, recipients, and one-time validation through Aeries–SIRAS Integration: Configure and Test Both Data Directions.

For a new non-Aeries integration, use the recommended expanded SIRAS export files where possible. Use tableA.csv/tableB.csv for other systems only when the receiving integration specifically requires the established legacy layout.

Do not build a new integration around the legacy files unless the receiving system requires them.
They remain stable for compatibility but are not updated with the expanded SIRAS fields available in the recommended files.

File Updates

Use this section to track dated changes to the SIRAS-to-SIS export files. Add each future update as a separate month-and-year subsection so districts and SIS vendors can identify when fields or processing behavior changed.

January 2026

The following fields were added to the recommended student export:

  • MediCal Billing Permission
  • MediCal Billing Permission Date
  • Classroom Accommodations CSV
  • Remote Access URL

The Remote Access URL contains an encrypted parameter and expires within a short period. Replace it from the new nightly file rather than storing it as a permanent link.

For future updates:
Add a new subsection such as September 2026, followed by a concise description of the affected file, field, format, population, or processing behavior. Keep prior dated subsections in place as the historical update record.

Monitoring, Changes and Troubleshooting

  • Confirm nightly file creation and retrieval.
  • Compare expected and actual record counts.
  • Review the first rejected row or SIS processing error.
  • Review filename, delimiter, encoding, leading zeros, and whether the file was modified.
  • Reconfirm mappings when a field is added or a school/code changes.
  • Use SIRAS SFTP: Secure File Exchange & Connection Settings for connection, folder, authentication, and scheduled-job problems.
  • Use SIS Integration Troubleshooting & Ongoing Monitoring for record matching, data authority, and cross-system differences.

After go-live:
The district's primary SIRAS/SPED/SEDS staff should confirm the SIRAS files are current and that the receiving SIS actually completed its import weekly or more often when appropriate. A successful SFTP transfer alone does not prove the SIS processed the records. Use SIS Integration Troubleshooting & Ongoing Monitoring for established-integration problems.
