Once a parent or guardian provides consent by signing a document, the document should not be altered by district staff. In the past, SIRAS has allowed edits to be made within the program up until the point that the meeting was finalized, regardless if there was a signature in place. These edits have always been logged carefully and the details are viewable as part of a timeline in the Meeting Change Log. Due to concerns about the potential for form data to be changed by district staff after the parent signature is collected, there have been some restrictions added.
With the current version of this function, once any of the following forms are signed by a parent or guardian, most fields on these forms will no longer be editable by district staff when they are logged into SIRAS:
-
IEP / 504 Consent Form
-
Meeting Notice
-
Assessment Plan
-
Medical Billing Permission
Notes and Exceptions
NOTE 1: Parent/Guardian Forgot to Complete a Section
- Forms sent to the Parent/Guardian via Links will remain editable by the Parent/Guardian post-signature, as normal, until the link expiration date passes.
- The parent simply needs to re-open the same link and make the corrections. The link can be re-sent if necessary.
- If the form is instead accessed via SIRAS (i.e., computer shared with parent/guardian at a meeting) then the important elements of the form will be locked after the signature is present. If changes are required, the signature can be deleted, corrections made, and signed again.
NOTE 2: Per-field exceptions (Office-Use Fields)
Additional signatures and signature-related fields (Name, Date) will remain editable.
Certain fields will remain editable after the parent/guardian has signed the form (for example, Assessment Plan Received Date). These fields are intended for district or office use after the form has been signed.
NOTE 3: SELPA Exceptions
Some SELPAs prefer to allow district staff to continue modifying forms after a parent/guardian signature. For districts within the following SELPAs, the form-locking function will not apply:
-
Pajaro Valley Unified SELPA
-
Kern County SELPA
