IMPORTANT Information for all users in SIRAS
- CAASPP and ELPAC supports for 2025-2065 have been updated by the CDE and are updated in SIRAS. New UDA menu updates have been deployed to SIRAS.
- Extended School Year (ESY) Eligible vs. ESY Enrolled: ESY prompts include both eligible and enrolled. ESY Eligible is determined during the IEP Meeting; and ESY Enrolled is determined when the parents have confirmed that their child will be attending ESY. ESY should be considered on an annual basis by the IEP team. An ESY consideration worksheet is located in the Tools>Added Forms area under the IEP category and should be used according to your District’s procedural guidance. The ESY Eligible and the ESY Enrolled checkboxes can be found on the MIS Summary Page in the LEA Section; and in the Forms Manager next to the ESY Services / Transportation / Supplementary Supports form. Additional ESY information such as the site, teacher, and dates can be added by clicking “More” in either of these two areas or can be accessed directly under Student Info>Special Ed Profile>Program. ESY Transportation details can be entered under the Setting and Transportation tab of the Special Ed Profile

Supplementary Supports: Locate the supplementary supports that you are responsible for by searching for Supplementary Description. Go to the Search button, add criteria and Search to List. See example. A list of all supplementary services can be printed from Reporting>Student Lists>Predefined Lists and then selecting Service- Supplementary Services from the General Lists section. This list may also be exported to an excel file for easier sorting. Supplementary Services should be reviewed at least annually by the IEP team and should not be added without the input of the service provider involved. Please remember to invite those service providers to your IEP meetings.

- Annual IEP implementation monitoring: This year, the CDE will again be collecting service data for a random sample of students from each LEA. The service log feature in SIRAS is a great way to document that services have been completed. Please follow your district’s guidance about how and where logging should be completed. As a reminder, a provider is able make a log note for multiple dates, both for individual students and group sessions using the service log feature in SIRAS. In addition, you can select the number of minutes served in a single click.
- Use the Student Data Overview links on your home page to monitor your caseload. Review your students who have overdue or upcoming meetings (annuals due within the next 30 days and triennials due within the next 75 days).
- Review your open meetings regularly. Finalize IEP meetings as quickly as possible, right after parent consent has been received. Finalized IEPs are sent to CDE as they occur throughout the year. The absence in reporting of a timely IEP meeting appears late. If the Parent Response is ‘Partial Consent’, try to resolve ASAP and change the Parent Response to ‘Accepts the plan’ if possible. If parents are not being responsive use other communication modalities and log those attempts under Record Contact Attempts in the IEP Manager.

IMPORTANT Information for SIRAS Data Administrators in SIRAS
- User accounts for agency staff: Contact [email protected] for account creation. Remember agency staff should be using an email provided by their agency.
- Please continue to send data to ensure that all data are in CALPADS for Fall 1 reporting.
- Disproportionality data and Timeline Compliance data will be pulled by CDE on December 12. Make sure you’re reviewing your 16.21 and 16.25 reports. You may filter the reports to include only students enrolled on census day to better identify which students will be part of the monitoring.
- Review CALPADS Fall 1 snapshots. Compare these reports to those you saved on Census Day. Make any needed changes to SIRAS records and send/re-send to CALPADS.
- Fall 1 LEA Approval is upon us. Refer to the suggested SELPA due dates document and collaborate within your LEA to ensure that all data will be in CALPADS prior to LEA approval. Review problem-solving resources on posted on the SIRAS4Admins and SIRAS4CALPADS Padlets. In addition, reference the CDE Fall 1 2025 suggested due dates/checklist. All LEAs MUST have LEA approval in no later than December 12. Please do not wait until the last minute!
- Scheduled time with SELPA to review the data including the data validations sent by CDE and complete reporting of degree of support which is required for SELPA approval.
- Review your 16.14 CALPADS report prior to LEA approval. Sort the list by plan effective start date and review those on/prior to 10/2/23. If your LEA has held a meeting since, but it was not agreed to or implemented prior to Census Day, the old plan effective date makes sense. These older plan records will need the degree of support added to them if there is not a more recent plan. If you run across a student who is not active in your SIRAS, review the case, as CALPADS had them active as of Census Day. Contact SIRAS or your SELPA to assist with any questions.
- Program settings will be used to calculate the district’s LRE indicators using Fall 1 data. It is important to review them for accuracy, specifically for the Preschool/TK/K students. Make sure program settings also make sense for the school the student is attending and that percent in general education has been updated as needed when program settings change.
- Download a copy of the data tracking worksheet and utilize it to summarize CALPADS reports for review with SELPA and your director.
- The deadline for Fall DRDP data in SIRAS is December 12, 2025. Final review of the data should be complete before the team leaves for winter break. Report students with all Unable to Rate on the DRDP Exception list (these should be extremely rare) and access DRDP Help on the SIRAS4Admins Padlet.
