How to make my file to upload smaller

PDF Files

 

If your office has used a large copy machine to scan a document to PDF, sometimes those older machines scan documents into large files.

Or however the PDF has been created, if SIRAS is saying it is too large (over 10MB) there is an easy resolution.

 

Compress (shrink) the file!

But how do we do that?

 

 

If you have Adobe Acrobat Pro, you can use that program to optimize it.

  1. Use the Advanced Optimization tool, but focus on the "Clean Up" and "Discard" options first.
  2. Images: Use higher downsampling resolutions (e.g., 300 ppi) and higher quality compression settings (e.g., JPEG with a Maximum or High quality setting).
  3. Fonts: Embed all fonts to ensure no text substitution occurs on different systems.
  4. Transparency: Flatten transparencies only if necessary, as the process can alter the appearance of objects.
  5. Run a space usage audit to identify any specific elements that are disproportionately large, such as a single high-resolution image, and optimize that element individually.

 

Microsoft Word Vs PDF file

 

Instead of uploading Microsoft Word documents, we suggest printing the document to a PDF file.

Word documents are harder to preview on web pages like SIRAS.

When one clicks on it to view, if the browser does not have a MS Word plugin you will have to download the file separately to view it.


This is why PDF is much better.

All web browers can open PDF file easily.

 

Once the document is converted to a PDF document, then upload it to SIRAS.

When you have the file open in Word

Go to the Print Menu

Print the document but instead of picking a printer to print to paper

Pick the Print to PDF option.

 

Once you have converted the MS word document into a PDF file:


If at that point the PDF is too large, you can use an Adobe online tool to shrink it down.

 

Once at that website:

 

  • You click on Select File button
  • Find your File
  • Or
  • Drag and Drop your file to it.

 

On Mac using Preview
Mac users can compress PDFs for free with the built-in Preview app.
While this method is fast, the "Reduce File Size" filter can result in a significant drop in image quality. 
So we would suggest using Adobe instead.
