When a new SELPA comes to SIRAS, it is necessary to transfer student data so that at minimum, student records for students participating in Special Ed. are created before staff begin using the system.
The set of data that SIRAS would ideally receive includes all of the current data for each student including:
- Demographics data (see SIS to SIRAS demographics data transfer documentation for example headers and definitions)
- Special Ed data (see SIRAS to SIS data transfer documentation)
- Service data
- Goals data
- PDFs of the most recent completed IEP forms for each student.
All files provided should include at minimum:
- The student SSID (primary identifier)
- Meaningful column headers (these will be manually mapped to data points in SIRAS)
- if file naming and/or directory structure is used to organize files, it must be consistent and clearly identified
File Format:
- CSV or XLS or XLSX
- One row per student, service, or goal
- Student data could be all in one file, or split across multiple files
Data should be compressed and uploaded to the SIRAS SFTP.
For Special Ed Data systems who have previously transferred data to SIRAS, we should re-use the existing process. We will accommodate any new or changed data points by a careful analysis of the data file headers.
