PSTS: [find/edit][print/email][read/enter][report][error help]
PSTS answers do not need to be archived for reporting!
Don't send PSTS data until all survey answers have been completed.
TIP: Build the mailing contacts list first, then use the post secondary query only and search to that.
What are PSTS Post Secondary Survey candidate records?
• The student must have the proper exit category or completion status last year.
• Completion status in CALPADS needs to be:
o 100, 120, 250, 320, 330, or 360.
• Or the exit category in CALPADS needs to be:
o E125, E140, E230, E300, E400, E410, T260, T270, T280, T310, T370 orT380
• Otherwise we can’t send the PSTS survey results as CALPADS won't recognize the record as needing them.
We can find the groups of PSTS records by going to Predefined Queries
Click on Search, Click on Predefined Queries
Open the Data Monitoring tab
- PSTS data required/blank: This is your to-do list to get down to zero. Eligible but no answer filled in yet.
- PSTS data - all eligible: This is all possible records needing the survey filled out regardless if answer filled out.
- PSTS successfully reported: These are the records that have already been reported to CALPADS.
We can find 'all eligible' PSTS records and go to a list that shows all the survey information entered in so far.
Go to /Reporting/Student Lists/Predefined lists
Open the Data Monitoring tab, look for the Post-Secondary list button.
Here we want to make sure we have contact information filled out so we can do labels for mailing or minimally phone/email for phone or email survey questions.
The list contains, student name, school attending, contact name, contact address, contact email, contact phone, primary post secondary status answer, secondary post secondary status.
Data Monitoring Note: You can build the Post Secondary list.
Then use the PSTS data required/blank query to find the remaining students needing survey answers.
If there is a student on this list that doesn't need to be on this list, then we need to fix the inactive information in SIRAS that shows the student is not eligible for PSTS.
If you have trouble removing a record from the list contact support@sirassystems.com
This is a list we want to get to zero records before we send data
Once the list has been generated the first time.
Then you can the use any of the pre-defined queries, and when you click 'search to list' the list you return to is the Post Secondary list.
