Q: How can I create a service minutes report from service data alone?
Q: Why does the phrase 'No records found' or 'No applicable service data for specified period.' show up instead of services?
A: Because for that student all services have a service end date prior to the report begin date. Or all services have a service start date after the report end date. Workaround: Temporarily remove service start or end date that puts the services out of range of the report. EX: service starts on 5/3/2023 but you are ending your report on 4/28/2023.
Q: Why aren't absences showing up in my personal reports, not the CDE one.
A: Because CDE according to an IEP implementation FAQ indicated they do not want them included for IEP Implementation Monitoring. If the report is not for CDE one can indicate to include them by checking the report option for 'Include Absent Logs'.
Q: Why aren't some students appearing in my export when they are in the found set?
A: This is because the current services on the MIS Summary page show a start date after your report end date, or the service end date is before the service start date of the report.
Example: IEP happened after 4/28/2023 on 5/3/2023. All service start dates are on 5/4/2023 -AFTER- the end date of the CDE IEP Implementation report window. You may need to temporarily create a list of records where you temporarily clear the start date to allow the services to be included when your end date of the report is 4/28/2023.
Q: Why is Siras saying we owe more/less services than we should?
A: This might be because a meeting in the middle of the report window increased the amount of needed service minutes. Remember, the Minutes log looks at the current services as they are now, and applies them to the whole time frame of the report. So if you had more/less minutes needed in May than you did in March and April, and the May meeting has been held, yes the March and April numbers will be affected by this different required minutes level. We suggest running Minutes Reports Monthly to have a record of what the report looked like prior to newer meetings being held that will affect the duration/frequency of future reports.
Q: We held a meeting in May 2023, when we run reports from March and April 2023, will Siras use the old services?
A: At this time, no, Siras uses the current services to calculate the expected minutes regardless.
Service Log Minutes Reports are based on current services on the MIS Summary page.
- When searching for ranges of logs to compare to services, the report will filter out services where the service start date is after the report end date.
- When searching for CDE IEP Implementation logs between 3/1/2023 and 4/28/2023, all IEPs marked as held on/after 5/1/2023 with service start dates on/after 5/1/2023 will not be included. You may need to temporarily remove service start dates if they are to be included in the export.
- If a recent meeting has introduced more minutes than previously required, then a past month may show as under delivered.
- If a recent meeting has introduced less minutes than previously required, then a past month may show over delivered.
- The Minutes Report defaults to -not- include absences per direct guidance from CDE to not include them.
- An early CDE FAQ clearly stated that absences were not to be included in the report, that is why 'Include absent logs' is not checked by default.
- The Minutes Report has rough estimates of monthly minutes vs expected minutes to generate the % delivered result.
- When students have daily+weekly+monthly minutes, Siras must convert to daily frequency to add up like and like minute totals. This calculation is a rough draft and will be improved in time. They are starting estimates and if the student has a simple set of services the output should be accurate. If not the results will vary and you may have to adjust accordingly.
- Yearly frequencies are also difficult because if you are delivering the services, once a year, what do we use for a 'monthly' expected minute total? You will just have to look at when the student got the 'yearly' service. If it was done during the time frame of your export, you can manually say it was met at 100%. If the service was not expected to be delivered, then simply remove it from your final report.
- To re-iterate, Siras calculations usean estimate of expected minutes by looking at current services an calendar break entries in the /tools/siras admin area.
