Rollover Contingencies

The only consideration for districts at time of rollover are the following. For any students whose next year’s data indicates the student will be transferred to
another district:

 

  1. If we want to prevent an ESY record from being transferred away too early, change the active status from Active to Pending.
  2. If a student record slated to transfer away from your district still has an outstanding EOY4 Certification Error, change the active status from Active to Pending
  3. If there is a meeting that just can't be closed due to ongoing continuations, then make the active status of the record Pending, then manually fix the record after the rollover.
  4. If that meeting was an Annual or Triennial, be sure to send a MEET record of the meeting. See slides 15 - 18 (Padlet Link)

 

In both cases that will allow the current record to stay in your district as long as needed for the remainder of ESY or to locally resolve the CERT error.
Once ESY is completed or the CERT error is resolved, the record can be manually rolled over.

How to find ESY candidates:

  • Search for Has Next Year’s Data AND Enrolled in ESY = Yes
  • Search to List
  • Click on Pre-defined List/ Next Year’s Data

 

 

If any records are found that do need to stay with your district past the Rollover Date, the simple
solution is to make the records active status = Pending.

  • Click Active
  • Click Pending
  • Click Save

That’s it!
