Predefined Query - Inactive Records requiring archive

Click the Search button

Click on Predefined Queries

Select the Data Monitoring section

Click on 'Inactive records requiring archive'

 

There are two scenarios records show on this list.

 

  1. The record has been made inactive with an inactive reason that is required to be reported to CALPADS
  2. The record was made inactive and archived, but the inactive date or reason was changed since archiving

 

 

How to find the records

 

 

 

 

 

 

Scenario 1)

The record has been made inactive with an inactive reason that is required to be reported to CALPADS

Open the most recent archive to see that there isn't a different inactive date/reason, if so proceed to solution for scenario 2 below.

Assuming this record just hasn't been archived yet, click the archive.

 

 

 

 

Scenario 2)

The record was made inactive and archived, but the inactive date or reason was changed since archiving

When we open the most recent archive, we see that there is a different inactive date/reason.

We need to research what is the correct inactive date and reason.

Once we know the corrected inactive date/reason:

  • Determine correct information
  • Fix/Verify Inactive information on Current Data
  • Re-Archive and Replace incorrect inactive date/reason in the Archived record
  • (Alternatively, just fix archive and change report status from complete to pending)
  • Delete wrong SWDS from CALPADS
  • Re-send corrected inactive status

 

 

Review Current Data

 

 

Verify what is in the archive and what was sent to CALPADS

If the Archive has correct information and CALPADS has correct information -  only fix Current

No need to send anything to CALPADS

Done!

 

If Current has correct information but archive has incorrect information, or both current and the archive need to be fixed


Fix the current information

Then rearchive and replace the incorrect information

Delete the SWDS data from CALPADS

Send data from SIRAS again

 

 

In the example below we see that 3/5/2025 is the correct information on Current and verified in CALPADS

 

 

 

Since we see the SWDS has the wrong Status Effective date, delete this entry in CALPADS

 

Then Archive the correct data from current data to replace the outdated information that was sent to CALPADS


Then send data again
