SIRAS automatically runs a few data maintenance tasks every night, in order to ensure consistency within the database.
This page is to document all of the rules around those updates.
Inactive Dates set to Inactive Status
Sometimes Inactive Dates are set in the future, and the record will be left as Active status until then.
Student records with Active status, but Inactive Date in the past, will become Inactive via the nightly process.
"Next" Program Setting
This field is unique within the "Next Year's Data" in that it is intended to be set only on Kindergarteners of age 5 (or greater).
The nightly process will handle this, applying the next year's Program Setting to the current record (typically on the 5th birthday) and creating a Change Log.
Enrolled in ESY unset in September
On September 1st, "ESY Enrolled" will be cleared out for all students. ESY Eligible will remain untouched.
Translation Completed on old meetings
For meetings which were marked as "Translation Required" but were never marked "Translation Complete", the completed status will automatically be set after 1 year and 6 months from the meeting date.
This is necessary to ensure that new meetings remain visible on the translation required lists.
Historical Record Designation
A special designation for archival purposes is set on records with birthdates over 26 years in the past AND Inactive status AND last modified over 1 year ago.
These records will not appear even on inactive status queries, to prevent such queries from becoming unmanageable over time.
Deactivating Inactive Users
Users who have not logged in for over 1 year will be automatically deactivated. To reactivate a user, an administrator must find their account under Manage Users and click the Reactivate button.
