PSTS Survey Workflow: Contact Students — Print, Mail, Phone & Email

How Do You Want to Collect the Survey?

Do not make former-student records Active and do not archive a PSTS response. Collect the survey, then enter the response on the student record using PSTS Survey Workflow: Enter Responses.

Print Surveys in Batch

Need general batch-form help? For Labels and Batch Forms outside the PSTS workflow, see Label and Batch Forms.
  1. Go to Tools → Labels and Batch Forms.
  2. Select the Batch Forms tab.
  3. Review the language option. The source article notes that Spanish forms can be printed based on Native Language; uncheck that option when the district intentionally wants the batch in English.
  4. Select Find post-secondary students to create the Found Set.
  5. Select Create batch forms.
  6. In Saved Files, look for Post Secondary Follow up <today's date>.pdf. Use Refresh if the file is not visible yet.
  7. Download the PDF and print/mail it according to local practice.

Open Tools → Labels and Batch Forms, then select the Batch Forms tab.

Use Find post-secondary students to build the PSTS Found Set for the batch.

Create Mailing Labels

While the PSTS Found Set is still active, use the Labels tools to create address labels for mailed surveys when that is part of the district's outreach process.

The same PSTS Found Set can be used to create mailing labels when needed.

Use the Batch Forms for Phone Outreach

The same batch PDF can be used as a phone-tree worksheet. Staff can call the former student/family, record the answers on the printed form, and enter the response later in SIRAS.

When no response is received or a person refuses/does not provide a survey answer, use the response coding documented for the current PSTS cycle. The existing PSTS source article specifically identifies choices such as Not able to contact, Other or Refused to answer, and Incarcerated for the described situations.

Email an Individual Survey Link

Need general Document Library help? This section gives only the PSTS-specific path. For the feature itself, see Document Library.
  1. Find/select the former student.
  2. Review the Exit Summary/contact information and confirm an email address is available.
  3. Go to Tools → Document Library.
  4. Under Edit Form, open the Post Secondary Form.
  5. Confirm the contact information.
  6. Select the green Save/Return arrow.
  7. Use Manage Links on the same row.
  8. Create the link and send it to the known contact email.

For email collection, open Tools → Document Library and locate the Post Secondary Form.

Open the Post Secondary Form from the Edit Form column.

Verify the contact information on the form, then save and return.

When Responses Return

Do not submit the former student's ordinary SEDS archives because a PSTS response was received. Enter the PSTS survey answers in the PSTS data-entry area described in the next article.
