If your district needs to monitor caseload counts during the year, it can't be done after the fact.
In SIRAS the first thing to do is go to student lists.
Build a list including student name/SSID/studentid/dob/grade/school/active status.
Start the list with what will be needed to identify the students.
Then add all the provider types that we need to keep monthly counts on.
Once the list has been built, save the list.
We suggest adding 'active status' into the list so you can know if the student records in your found set were pending or active on the day the data was exported. Typically one would only export active students, but it might be useful to see if a student record was present even if not participating yet.
Feel free to run statistical reports too if you are only counting a few provider roles.
But to set up a monitoring system you need the data in a format to audit.
Once the list has been saved, this list can be used to build an export.
Go to the /tools/data export
Then load the list as the export
Then click generate export.
Be sure to name the file something obvious about what it is and put the date in the name of the file. You can't trust the last modified date of the file to tell you when it was created.
Make sure this data is downloaded and securely stored at your district office where these files can be used to provide caseload totals from month to month.
This method is entirely dependent upon staff being individually assigned to student records.
