Force Finalize (disable meeting validations)

Sometimes you must cancel a meeting but not wanting to delete the meeting so that there can be a history (completed forms) of the planned event.  Normally this is not allowed to prevent non compliant meetings.

This is because all the required forms must be submitted before the meeting can be Finalized.

 

  1. What if the meeting just never will be finished?
  2. Sometimes when things aren't going as expected and we still need to close the meeting normally?

 

These are some reasons we may use this feature.

 

Before we close the meeting!

  • Be sure to add a summary of the main reason in the scheduling notes area.
  • If there are other important details, be sure to add them to the notes form of the meeting itself.

 

Closing the meeting this way can be done with SIRAS user account role of District Admin 1 or above.

 

This action is invoked by:

  1. Clicking the ‘Preview/Print/Options’ button
  2. Then select ‘Disable validations for preview/finalize'. 

 

When validations are disabled, two things can be done.

  1. The ability to indicate meeting held, then close it.
  2. The ability to close the meeting as is, held or not.

 

 

If we are bypassing form warnings we know that we can ignore

When we click meeting held, we still need to indicate the correct parent response.

This is known as force finalizing meeting as held.

 

In other cases the meeting may not have been held and we are abandoning for various reasons.

 

 



 

 

 

If the meeting was held, now you can indicate that.

  1. Make sure Meeting Held is checked
  2. Then choose parent response
  3. Then click Finalize Meeting.

If the meeting was not held,

  1. Make sure meeting held is not checked
  2. Then click Finalize Meeting



When Finalizing as Not Held:

Select the best reason for closing option and click Finalize button.  

  • Unresolved - To be continued

  • Parent did not give permission for assessment

  • Parent did not make child availalbe

  • District denied assessment

  • Transferred during meeting

  • Private School Evaluation Only (No Plan Offer)

  • Abandoned meeting

 

Then click Finalize

 




Lastly, and depending on the circumstances you may need to Inactivate the record.  To do this, in the upper right corner, change the Status to 'Active'.
